PROPERTY MANAGER for Self-Managed Large-Scale Community

The Onsite HOA Property Manager is responsible for the efficient, effective daily operations of Canyon Gate at Northpointe, a gated residential community located in Tomball, Texas. Reporting directly to the HOA Board of Directors, the Property Manager is the primary onsite point of contact for homeowners, vendors, and community partners. This role encompasses administrative, financial, and operational oversight, ensuring the community runs smoothly and aligns with the association's governing documents and goals.

Key Responsibilities:
Operational & Administrative Duties
• Enforce community rules and regulations, including CC&Rs, bylaws, and architectural guidelines.
• Monitor and coordinate maintenance of all common areas, including landscaping, gates, clubhouse, pool, and recreational facilities.
• Serve as residents' primary point of contact regarding maintenance requests, complaints, or general inquiries.
Board and Governance Support
• Prepare for and attend all HOA board meetings, annual meetings, executive sessions, and special meetings, including preparation of board packets, agendas, financial reports, and meeting minutes.
• Provide recommendations to the Board regarding policy updates, capital projects, vendor contracts, and community improvements.
Financial Oversight
• Handle daily financial transactions, including vendor payments, deposits, petty cash, and association banking.
• Collaborate with the HOA's accounting team to reconcile financial statements and prepare reports for the Board.
• Oversee the collection of association assessments, working with the accounting team and legal counsel to manage delinquency notices and payment plans.
• Assist in annual budget preparation and long-term reserve planning.
Vendor & Contract Management
• Manage vendor relationships, ensuring contract compliance, performance standards, and timely completion of work.
• Obtain competitive bids for services as needed and present recommendations to the Board.
• Coordinate insurance policies, claims, and renewals on behalf of the association, ensuring proper coverage and timely filing of any property-related claims.
Legal, Regulatory & Compliance
• Act as liaison between the HOA and its legal counsel, accounting firm, and other third-party professionals.
• Ensure community operations comply with all applicable laws, including the Texas Property Code, fair housing laws, and municipal ordinances.
• Maintain accurate and legally compliant records, including meeting minutes, financial statements, and homeowner communications.
Staff Management
• Supervise, train, and mentor the on-site office assistant to ensure daily tasks, homeowner communications, and administrative support duties are completed.
Technology & Communication
• Maintain community data and documents within the FrontSteps software platform, including uploading meeting notices, governing documents, bulletins, and emergency alerts.

Qualifications:
• A bachelor's degree is preferred; relevant experience may be a substitute for formal education.
• Minimum 3 years of HOA or property management experience, preferably in a single-family residential community.
• CMCA or AMS designation preferred or ability to obtain within 12- 18 months.
• Proficiency in Microsoft Office Suite and Caliber or other HOA software is a must.
• Strong leadership, organizational, and conflict resolution skills.
• Excellent written and verbal communication abilities.
• Demonstrated ability to handle confidential matters and work with diverse personalities.

Working Conditions:
• Full-time, onsite position with occasional evening or weekend availability for board meetings or community events.
• Walking the property, lifting occasionally (under 25 lbs.), and working in a standard office environment are required.
